Inform employees and managers they can login using Identity 

If, as part of enabling Identity, you need to send out the welcome emails to all employees and managers, please refer to the Identity help guide “Onboarding new users with welcome emails”. 

Disabling Identity 

Should you need to stop using the Identity login page on the web and mobile app, you can unset the Enable Identity option. The system will then use the login option configured. Upon re-enabling Identity, the sychronisation process will be re-enabled.

Synchronisation Status 

The synchronisation status provides you with an overview of employee and manager records that have been successfully synced to Identity and those that have failed. 

  • Once the Enable Identity flag has been set any employees and managers that have failed synchronisation will not be able to login to the web/mobile app. 
  • You can use the View Details links to see why they failed to sync to Identity. The sync process will attempt to sync the employee or manager again after the record has been updated. 
  • You can refresh this data at any time by clicking the Refresh email and sync data button. This button does not start the sync process. 
Identity Welcome email 

When Identity is enabled in Time and Attendance and a new Single Sign-On account is created in Identity (either through the creation of a new employee or manager, or updating an associated email address), Identity will automatically send a Welcome email to the user.  

A check box on the Identity configuration screen in Time & Attendance allows you to define whether or not to 'Send Welcome Emails'. If this option is selected, welcome emails will be sent on creation of the new employee or user. If the user deselects this option welcome emails will not be sent on creation of the new employee or user. As default the 'Send Welcome Emails' option will be selected. If all users are federated, it is recommended that this is not enabled.

Adding custom content to welcome emails 

Note that welcome emails are not sent out to employees and managers when you use the optional synchronisation process to sync all employees and managers before enabling Identity. However, once you are happy that all the employees/users are synced, you can still send Identity welcome emails by using the 'Sending welcome emails to multiple users' feature, use this link to access the help page for more instructions. 

Bulk import of users to Identity 

It is possible to import users directly to Identity, rather than using the Time and Attendance sync process. A pre-defined csv file layout should be used, and this controls the various user settings, such as enable MFA, send welcome email, requires email verification etc.
