Introduction

This guide explains the Remote Desktop Web Access (RDWeb) login process with Duo Multi-Factor Authentication (MFA). It helps users understand what to expect and how to complete the login securely.

What is Duo MFA?

Duo MFA adds a second layer of security to your RDWeb login. In addition to your username and password, you'll confirm your identity using a device like a smartphone.

Requirements

·         A valid RD Web username and password.

·         A single named user email address per RD Web user.

·         A registered device in Duo (smartphone, tablet, landline, etc.).

·         Duo app installed (for push notifications), or access to phone/email for passcodes. Links below for reference if needed -

Logging in to RD Web with Duo

Step-by-step login process:

1.             Go to your RDWeb login page (e.g., https://yourcompany.com/rdweb).

2.             Enter your username and password.

3.             Click 'Sign in'.

4.             You will see the Duo authentication prompt.

5.             Choose an authentication method:

- Duo Push: Approve the login on your smartphone.

- Passcode: Enter a passcode from the Duo app or sent via SMS.

- Phone Call: Press a key to verify via call.

6. Once authenticated, access your remote desktop resources.

Tap 'Approve' on your smartphone when prompted.

Enter a code from the Duo Mobile app or SMS.

Call Me

Duo will call your phone. Answer and follow instructions.

First Time Duo Enrolment (if required)

If you are new to Duo, you may be prompted to enrol:

1. Follow the link to start enrolment.

2. Choose your device type.

3. Install Duo Mobile (if using a smartphone).

4. Scan the QR code.

5. Complete setup. Once done, you will be able to authenticate.

Troubleshooting Tips

- Not receiving push? Open Duo Mobile app and refresh.

- Wrong device? Use 'Other options' to select another method.

Security Tips

- Never approve a Duo prompt you didn't initiate.

- Report suspicious login attempts to IT.

- Keep your Duo-enrolled device secure and up to date.

Please raise a Support ticket via the ServiceNow Support Portal for the team to ensure secure and complete deprovisioning of users. As a request for a new user would require the reuse of the existing user account (and the same license), it is recommended that you also raise a request for a password reset for the affected user account.
