Rosters

Overview

Roster is a sequence of Shifts and may be one or more weeks long depending on the Employees work style. For example, a typical office worker might work a day of 9:00 to 17:00, except on a Friday, when they leave at 16:00, and at weekends which are non-working days. Such an Employee would require 3 Shifts:

  • Shift 1 — 9:00 – 17:00
  • Shift 2 — 9:00 – 16:00
  • Shift 3 — Non-working Saturday and Sunday

The Roster would be made up of those three Shifts on the following basis:

The Group planner allows a Supervisor to create, change and copy Rosters for the selected Group or for Individual Employees.

Roster actions

The Roster data type available in Calendars and Group planner allows a Supervisor, with access, to a number of actions. The actions available can be found in the right-hand pane when highlighting a date range on the planner. For example:

The actions for the Employees highlighted date range are:

  • Copy period to — opens a new page to copy the selected Employees highlighted planned shifts to other employees.

  • Insert roster — if no roster exists for the Employee with the highlighted date range, an action to insert a roster is available in the right-hand pane. Clicking the action opens a pop-up to insert a roster for the selected Employee. For example:

In the Roster drop-down list, select the new roster to use, specify what base week to start the roster from and the Start and End dates of the roster.

Note: leave the End date blank for the Employee to be continuously assigned this roster in the future.

The roster action available for an Employees roster on an unprocessed day is:

  • Change roster — opens a pop-up to change the roster assigned to the Employee for a defined number of days. For example:

In the Roster drop-down list, select the new roster to use, specify what base week to start the roster from and the Start and End dates of the roster.

Note: leave the End date blank for the Employees roster to be changed completely in the future to the new roster.

Additional actions are available when you click on an Employee ID and name to view the summary, actions and totals of an Employee:

  • Create named roster — opens a new page to create a named roster from the selected Employees planned shifts on display.

Additional actions are available when you click on the Total headings to view the summary, actions and totals of the entire planner:

  • Copy periods — opens a new page to copy the planned shifts on display forward into the future for selected Employees.

  • Create personal rosters — opens a new page to create a personal roster for selected Employees from the planned shifts on display.
