Creating a Calendar data type

Supervisor can create their own data types to be displayed on a calendar by using the additional actions available on the Calendar data types page to create a AbsenceHour bandsRequest or Work record data type.

Absence

Clicking on Absence in the left-hand pane opens the Create page with the following fields to create a data type focused on Absences:

Enter the Title for the data type and select the following from the drop-down list:

  • Type — the options Actual and Planned are available to select for the absence type:
    • Actual — displays Absences that have been processed and have been taken
    • Planned  — displays Absences that have been planned for the future or the past

Hours bands

Clicking on Hours bands in the left-hand pane opens the Create page with the following fields to create a data type focused on Hours bands:

Enter the Title for the data type and select the following from a drop-down list:

  • Work record types — the options ActualPlanned past and Planned future are available:
    • Actual — displays Work records that have been processed
    • Planned past — displays Work records that have been planned in the past from the current date
    • Planned future — displays Work records that have been planned in the future from the current date

The Hours band typesWorked and Absence hours codes available to the Supervisor can be selected from the drop-down list to display on the calendars.

The Colour source field allows a Supervisor to select what colours will be used for the data types displayed on the calendars.

Requests

Clicking on Requests in the left-hand pane opens the Create page with the following fields to create a data type focused on Requests:

Enter the Title for the data type and select the following from a drop-down list:

  • Request type —  select what type of Request to display on a calendar from the options 'Absence', 'HR', 'Message', 'Shift', 'Shift cover' and 'Work record'

  • Request status —  select what Request status type to display on a calendar from the options 'Accepted', 'Deleted', 'Failed', 'Partial', 'Pending' and 'Declined'

Work record

Clicking on Work record in the left-hand pane opens the Create page to create a Work record data type. The fields available are the same as the Hours bands Create page but with an extra field at the bottom:

  • Shift types — a drop-down list to select different types of Shifts to display from the following options:
    • Working day — displays Shifts that have been planned for a working day
    • Available day — displays the Availability band of an Employees available shift
    • Non-working day — displays Shifts that have been planned for a non-working day

Click Submit in the left-hand pane to save the custom data type and return to the updated Calendar data types page with the new data type added to the list.

Alternatively, click Cancel to abort any changes and return to the Calendar data type page.
