Adding a keyed absence

keyed absence adds the option to clock out to create an absence against a predefined code e.g. CB for company business.A keyed absence can be added by following the method below:

Decide which Function key on the clock you wish to use and the Absence code you want it to generate.

From the main window of T&A go to Launch -> Site planner  and double-click on the clock you wish to modify.

On the Terminal details window make a note of the name of the configuration file and click Edit

In the Terminal Configuration program go to Configuration -> Data entry and find an unused function key double-click on it.Check the Enabled box and enter an appropriate Prompt

Next click on Reader 1 and set the Transaction options like this:

The Access options like this. 

And on the Message tab pick your standard 'successful clocking' message. -> OK

Back out to the main window of the Terminal Configuration program go to File -> Save as and update the Name and Description as appropriate.

Close the Terminal Configuration program and click OK on the Terminal details window and close the Site planner.

If the hours code you want to assign to this key does not exist at this point go to System -> Absence Categories -> Absence Hours -> Add

Enter an appropriate code

Populate the settings as required.  (Have a look at an existing one to determine the settings if you aren't sure, they can always be changed later)

Reopen the Site planner and double click on the clock and your updated configuration should now be available for selection.

Click Define and double-click on the Key mapping set that is currently in use. On a new line click on the ...

Enter the Function key number you defined in the terminal Configuration, select the appropriate TypeDirectionOnsite and Safe options then pick the Hours code you want to assign to it -> OK

e.g.

Click OK on the Terminal details window, click Save on the Site planner and close the Site planner.At this point the Poller needs to be restarted to see the change to the Configuration file and Key mapping.

This can usually be done be going to Launch -> Site monitor -> right-click on the Poller icon -> Add command -> Send Poller dormant -> change the Time to remain Dormant to 1 Minute -> OKWhen the Poller restarts right-click on the clock Add command-> Configure -> OK

The clock should now allow you to test the new function to clock out and apply the code you assigned to it.  The normal 'Clock IN' function can be used to clock back in again as usual.If you go to Recent clockings and double click on the clocking you should see the code you defined in the Hours/Qual field. 

It will show up as an absence period on the clock card once processing has taken place.

Once you are happy this is working the updated configuration can be applied to any other clocks it is appropriate to that are using the configuration you initially modified. 

(If each relevant clock uses a unique configuration then you will need to edit each configuration individually using the process above)

Open the Site planner -> Double-click on the relevant clock and change the Configuration file to the updated one and click OK

Click Save when you are done and apply the configuration(s) with the method outlined above.
