Employees without email addresses

Where employees are not mandated to have an email address (for example, because they don’t need to login), the Identity sync will still generate a user account. In this circumstance, Identity will use the employee number as the user ID.  In these circumstances, Identity will not generate any welcome email communication with the employee, and it is for the customer administrator to set the user password and share this with the user securely. Any future password resets will need to be carried out by the customer administrator on behalf of the user.

Important information: Where employees do not have email addresses, and auto rostering is in use, these employees will not receive system communications regarding shift allocations and available shifts.  However, should you need them to login at any point in the future (due to change in role or introduction of the mobile app across the wider workforce), adding a unique email address to the employee will then synchronise that record with Identity and they can then follow the login process. Note that the user ID within Identity will remain their employee number, with the email ID field holding the new email address. The user can then login with either their employee ID or their email address.
