Step 4 - Setting up Identity for your organisation

Perform the OneAdvanced Identity onboarding process

Email summary

The Time and Attendance email summary section provides summary statistics for employee and managers with no email address, duplicate email addresses or where multiple managers are linked to the same employee. This is to give you the assurance that the email data meets the unique email address pre-requisites and will therefore be synchronised successfully once the sync process has started.

The email check will exclude employees with a leave date in the past.

If there are employees or managers that fail the validation, you can view them through the View Details link against each of the four validation categories. If required, there is a right-click option to copy the list of employees and managers to the Clipboard to be pasted in another application, such as MS Word or Notepad.

The Start Synchronisation/Enable Identity steps can still be performed even if the Email summary shows there are employees and managers without a unique email address.

You can refresh this data at any time by clicking the Refresh email and sync data button. This button does not start the sync process.

Synchronise employees and users

This step is optional. By clicking the “Start synchronisation” button, the background integration process will start. The process will sync any existing employees and managers, as well as any new records created with OneAdvanced Identity. This process will not send out any welcome emails. If you do need to send out the welcome emails on mass at a later point in time, please refer to the Identity help guide “Onboarding new users with welcome emails”.

This approach allows you the option of switching over to the Identity login page at a later date, once you are happy that your employees and managers have their Single Sign-On accounts fully synchronised and ready for login to Time and Attendance.

Enable OneAdvanced Identity

Once the Enable Identity option is checked

  • the Time and Attendance web and mobile app login method will be switched from the current login method to using the OneAdvanced Identity login page
  • if the background synchronisation process is not already running then it will be started, and welcome emails will be sent to all successfully synchronised employees and managers
