Worked hours panel

Overview

The Worked hours panel is accessed from the Edit button or by clicking on the day of your Work record in your Clock card. The total number of hours worked in the day is displayed in the Worked hours panel header. Click the header to expand the panel.

The panel displays a breakdown of the hours you worked on the day with individual coloured Worked hours codes or categories. Each period of work is displayed in a separate row.

Note: A similar breakdown of any absence recorded on the day is displayed in the Absence hours panel.

The following example shows a Worked hours panel with two periods of work in the day:

The rows of Worked hours generally correspond to the clockings you made during the day and might represent the individual jobs you did. The information displayed includes:

  • Worked hours code and description, for example  BH: Basic & hours
  • Length of time worked in hours, example '04:00'.
  • Any TAS values associated with the Worked hours. For example,
     Department: Office  which means the hours worked relate to the 'Office department'.

There are three actions available from this panel for individual periods of work: Add hoursModify and Delete.

Note: Any changes you make to your Worked hours will not be reflected in the Absence hours, Clockings or Hours bands panels. You need to update these separately if required.

Add worked hours

To add Worked hours to a Work record, expand the Worked hours panel in the relevant Work record and click the Add hours button. The Add worked hours page opens. For example:

You must select an Hours code from the drop-down list of available Worked hours codes and also enter the length of time in the Hours value field. You may also select TAS category values to describe the worked hours. There are two TAS categories in the previous example: drop-down lists called 'Department' and 'Contract', each containing a list of codes or values to select from.

Select or enter the relevant details then click  Submit  and return to the Edit work record page, or click Cancel to discard your changes. Any changes you make are highlighted with a  Draft  tag. For example:

Note: you may see an additional panel the bottom of the Add worked hours page to record more information. For example:

To add the new Worked hours, click Submit in the left-hand navigation pane or click Cancel to discard the addition and return to your Clock card.

Note: Any change you make to your Worked hours may require approval from your Supervisor and so will automatically generate a RequestWork records and any fields with requested data changes are highlighted with a  Request  tag. For example:

Delete worked hours

To delete an existing period of Worked hours in a Work record, expand the Worked hours panel in the relevant Work record and click on the Hours code, Hours value or TAS of the Worked hours you wish to delete. A Modify worked hours page opens showing the existing values for the row. Click Delete at the bottom of the page. A pop-up window opens asking if you want to delete the Worked hours. For example:

Click  Delete  to proceed and return to the Edit work record page with the Worked hours row removed. Click Cancel to abandon the deletion.

Note: To delete Absence hours in a Work record, see Delete absence hours.

To apply the changes, click Submit in the left-hand navigation pane or click Cancel to discard the modification and return to your Clock card.

Modify worked hours

To modify an existing period of Worked hours in a Work record, expand the Worked hours panel in the relevant Work record and click on the Hours code, Hours value or TAS of the Worked hours you wish to modify. A Modify worked hours page opens showing the existing values for the row. For example:

Note: To modify Absence hours in a Work record, see Modify absence hours.

You can change the Hours codeHours value and any TAS category values. Select or enter the relevant details then click  Submit  and return to the Edit work record page, or click Cancel to discard your changes. Any changes you make are highlighted with a  Draft  tag.

To apply the changes, click Submit in the left-hand navigation pane or click Cancel to discard the modification and return to your Clock card

Moving absence hours to Worked hours

You may wish to convert a period of absence into Worked hours in a Work record if, for example, a period of work has been recorded incorrectly as an absence. To do this, expand the Absence hours panel in the relevant Work record and click on the Hours code, Hours value or TAS of the Absence hours you wish to move. A Modify absence hours page opens showing the existing values for the row. Click Move to worked at the bottom of the page. A pop-up window opens for you to select a new hours code to use. For example:

Click Cancel to abandon the change or  Submit  to proceed and return to the Edit work record page. The Absence hours row is removed from the Absence hours panel and a new row, with a  Draft  tag is added to the Worked hours panel. In the following example, a 30 minute absence has been changed to Worked hours with a Worked hours code of 'OT1: Time and a half':
