Auto-Rostering overview

Auto-Rostering provides the ability to create, manage and optimise employee work schedules, with specific data synced from your Time & Attendance application. It is a constraint based smart scheduling solution capable of meeting complex and diverse requirements around staffing levels, managing employee availability, schedules and skills.

This article will provide an overview of the main areas of Auto-Rostering as they appear in the application for a Supervisor/User Admin, and will also offer additional links to further documentation that will delve deeper into specific areas.

Dashboard

The dashboard allows you to configure a weekly or daily view and then displays the following features based on your chosen timeframe:

Active Schedules - How many schedules are active

Schedule Hours - The total scheduled hours

Schedule Job Slots - The total number of Scheduled Jobs

Assigned Jobs - The total number of Jobs assigned to your employees

Required vs Scheduled Hours - Chart displaying how may required hours you have available vs how many of those hours are scheduled

Schedule Problems - Displays a ring chart with the total number of Unassigned Jobs and the total number of Invalid Assignments

Schedule Details - Details about about each Schedule, such as the name of the schedule, Hours and Jobs with an option to View the detail of each of the schedules.

Schedule Approvals - This displays any schedules that are awaiting approval with the ability to view the details of each Schedule

Scheduler

The scheduler allows you to Manage schedules, Manage templates, View attendance confirmations and Lone worker alerts and provides a full sync history from your Time & Attendance application with the ability to search for specific employee sync details. Employee

The employee area of Auto-Rostering allows you to manage employees and manage absences, including an authorisation list to view the latest absences awaiting authorisation and a calendar view to view all employee absences based on week, month, year, as well as provide the ability to search for specific employees. Settings

Settings provides you with the following features:

Skills Matrix - Allows you to view the Skills Matrix, displaying the full list of skills assigned to each employee, as well as the ability to search for a specific employee to check what skills they have assigned.

Note: Skills are automatically synchronised from Time & Attendance into Auto-Rostering, Read more here for details of which data is synchronised

Job types - Add a Job type and amend current job types. Read more articles here for detailed documentation around Job Types

System preferences - Displayed in tabs with the following features:

  • Custom Data fields
  • Security details around OneAdvanced Identity providing you with the ability to enable existing users and employees the ability to login with Advanced SSO
  • Configure Dates i.e. the start day of the week used for schedules
  • Configure Jobs and the colours you wish to assign to the correct status to be displayed within Schedules
  • Configure Schedule rules
  • View employee data
  • Configure email settings
  • Add Special dates
  • View Absence codes synced from Time & Attendance
  • GDPR setting which allows you to delete data after a certain time period
  • View Shifts synced from Time & Attendance
  • Configure any Agencies
  • General System information i.e. Business name, version

User Management - You can manage all users and their profiles as well as Employee profiles. You also have the ability to view a full audit trail of all activity performed across Auto-Rostering.

Reports

There are various reports provided to preview, such as Schedule Detail Report, Schedule Summary Report and Schedule Employee Breakdown Report. Read more articles here covering detailed information about what each report provides.
