Leavers, rejoiners and deleting employees – the impact on Identity.

What happens when I process a leaver or delete an employee in time and attendance?

We do not remove or deactivate the user from Identity, as Identity is a shared platform service. We do not know whether the user is still required to allow them to login to any other OneAdvanced system.  

For federated only users, if their corporate account has been deactivated as part of the organisation’s leaver process then by default, Identity will no longer allow them to login.

For non-federated users, their account will remain active, and they will continue to be able to login.

To disable a user in Identity, access the user records through Identity. The users account status will be set to Enabled. By switching the status to Disabled, the user will no longer be able to authenticate and login.

What happens when I have a rejoiner in time and attendance?

Where you have an employee leaving the business and then returning - there is no issue with Identity providing the rejoiner has their existing leaver record reactivated.

If you add a new record with a different unique employee reference then you will first need to remove the duplicate email address from the old employee record. You can then add the email address to the new employee record. Once amended, the new employee record will sync with identity (there'll be a duplicate email address error until you follow this process).
